Returns & Incident Reporting

Purpose

This policy outlines the procedures and conditions for product returns and incident reporting related to chemical products supplied by A1prolab. The objective is to ensure issues are addressed promptly, safely, and in compliance with applicable regulations.

Returns Policy Overview

Due to the regulated nature of chemical products, returns are subject to strict controls. Returns are accepted under specific conditions and with prior written authorization.

Return Authorization

All returns must be approved in advance by A1prolab. Unauthorized returns will not be accepted.

To request a return, buyers must provide:

  • Order reference and product details
  • Reason for return
  • Condition of the product and packaging
  • Relevant photographs or documentation, where applicable

Return authorization is granted at the sole discretion of A1prolab, subject to compliance and safety considerations.

Eligible Returns

Returns may be considered under the following circumstances:

  • Product delivered does not match the confirmed order
  • Shipping damage reported within the specified notification period
  • Documentation discrepancies that prevent lawful use

Products must be:

  • Unopened and unused
  • In original, sealed packaging
  • Stored in accordance with SDS requirements

Non-Returnable Products

The following are generally not eligible for return:

  • Opened or used products
  • Products improperly stored or handled after delivery
  • Products returned without authorization
  • Products subject to regulatory disposal requirements

Return Handling & Transport

Approved returns must be shipped in accordance with applicable hazardous materials transportation regulations. Buyers are responsible for ensuring compliant packaging, labeling, and documentation unless otherwise agreed in writing.

Incident Reporting

Buyers are required to report any incidents involving supplied products promptly. Incidents may include:

  • Spills or leaks
  • Exposure or injury
  • Transportation damage
  • Environmental release
  • Packaging failure

Timely reporting supports risk mitigation, regulatory compliance, and corrective action.

Incident Reporting Procedure

Incidents should be reported as soon as reasonably possible and include:

  • Description of the incident
  • Date, time, and location
  • Product identification and batch information
  • Actions taken to control or mitigate the incident
  • Any injuries or environmental impact

Additional documentation may be requested to support investigation and response.

Emergency Response

In the event of an emergency involving chemical exposure, spills, or environmental release, buyers must:

  • Follow the instructions provided in the Safety Data Sheet (SDS)
  • Implement internal emergency response procedures
  • Contact local emergency services where required

A1prolab should be notified after immediate safety concerns are addressed.

Investigation & Corrective Actions

Reported incidents may be reviewed to:

  • Identify root causes
  • Implement corrective and preventive actions
  • Improve product handling, packaging, or documentation
  • Support regulatory reporting where required

Buyer Responsibilities

Buyers are responsible for:

  • Reporting incidents accurately and promptly
  • Implementing appropriate safety measures
  • Complying with local reporting and regulatory obligations

Failure to report incidents may result in regulatory or safety risks.

Limitation of Liability

A1prolab shall not be liable for incidents arising from improper handling, storage, use, or disposal of products after delivery, except where required by applicable law.

Conclusion

A structured approach to returns and incident reporting supports safety, compliance, and continuous improvement. By following these procedures, buyers and suppliers contribute to responsible chemical management.
